Recommended Setup For Drawing Logs

Users may need to manage drawings for several sites (buildings) under one project in CMiC Field. This article covers how to set this up using Location Codes. For more information, please refer to Drawing Management.

1. Document Options Setup

The standard document types provided by CMiC include: Attachment (ATTACHMENT), Drawing Management, (DRAWMGMT), and Specifications Management (SPECMGMT). The following example uses the Drawing Management document package type.

Pgm: PMOPTFM – Document Options Setup; standard Treeview path: System > Global Tables > Maintain Data Process – Document Option node

In the above screen, select the DRAWMGMT code highlighted above, and press the Edit icon. This brings up the screen below.

In the Document tab, check the 'Auto. Number' and ' Allow Override' boxes.

Document ID Mask

We recommend the user set the Document ID Mask to ******************** (20 asterisks). The Document ID will now be used as a unique identifier for the drawing - the actual Sheet Number of the drawing will be stored in the Sheet Number field.

Sheet Number

This field is used to store the sheet number for each drawing sheet in Drawing Management. The Document ID will no longer store the sheet number as a result.

Location

This field is used to store the location data used to organize key documents like drawings and photos by location. These codes are set up at the project level in the Location Code Maintenance screen.

Discipline

This field is used to store the discipline (trade) data.

2. Log Builder Setup

System Log; standard Treeview path: CMiC Field > File Maintenance > Log Builder

In the Log Builder screen, select "Document: Drawing Management " (DRAWMGMT). In this screen, the user can set the column order and enter a header title for each column. A recommended configuration is shown below. We recommend that the first column in the log be the ID number (i.e. PMD_ID). This will avoid triggering any errors or unexpected results when downloading documents.

Once the above configuration has been entered, press the [Save] and [Save As Default] buttons. For projects that don't need to use the location code feature - they can just hide the column. Also, users can always hide the PMD_ID column, if they prefer for it to remain hidden in the Drawings log.

3. Locations Maintenance Setup

Inspection Locations Maintenance; standard Treeview path: CMiC Field > File Maintenance > Local Tables > Locations Maintenance

Admins can now enter location codes into the Locations Maintenance Setup screen. It is recommended to add the main buildings/sites when starting a new project in order to select these codes when any drawings are uploaded. Admins can always come back to this screen later and add more detailed location codes as the project progresses. Please note that location codes default to uppercase letters.

4. Uploading Drawings

Once the setup above is complete, users can upload drawings to the project and associate them with Location Codes.  For more information on this please refer to Uploading Drawings with Location Codes.
