Tracking Concurrent License Count

What's New?

CMiC has developed a new screen which helps you track your Enterprise software licenses in real time. The Concurrent License Count screen allows you to monitor how many concurrent licenses you have purchased as per your contract, as well as how many of those licenses are being used.

NOTE: This feature is available in a Patch 19 Hotfix. Please contact your Account Manager for more information.

How Does it Work?

The Total Slots field displays the total number of concurrent licenses purchased as per your contract. The Available Slots field displays how many slots are left or available to be taken up.

The Concurrent License Count screen has not been added to the standard R12 treeview, as it does not apply to all clients. To add this new screen (i.e., SYSCONLICCNT), use Treeview Builder with the following properties:

Label: Concurrent License Count

App Code: SD

Target Type: UIRuntime Program

Target Name: SD - Concurrent License Count

Assigning Security

Security access can be granted to roles using the Assign Roles to Programs screen in the System Data module.

Releasing a concurrent Enterprise license

To release a license, users will need to perform one of the following actions:

  1. Use the logout icon (Logout Icon).

  2. Use the [Exit] program button.

  3. Close out the browser (after 15 min the user’s license will be released).

Using a Concurrent License Slot

There are some conditions that apply when a concurrent license is taken up in the Concurrent License Count screen.

The console is not controlled by licensing. It falls under the same program categories as System Options, User Maintenance, Maintain License Pools, etc., which are not controlled by a specific license since users need to have access to start configuring the system. Therefore, launching these programs will not take up a concurrent license.

Not every ADF program will take up a slot. An Enterprise slot is not taken when:

  • The program is mapped to license type M (Site Management) and the user belongs to a pool of that type.

  • The program is mapped to license type P (Field) and user is flagged as PM user.

For the list of programs mapped to licenses P and M, please refer to the CMiC Enterprise Licensing Matrix.

Programs such as Maintain Business Partners, Enter Job, Enter Project, Assign Cost Code, will not take a slot if the user is flagged as a PM user ('Project Management' checkbox in PM/Field User Maintenance screen).

  • As of patch 20, the BI application would take a concurrent slot if the customer is running concurrent Enterprise and the user does not belong to a pool of type Site Management or Collab or is not flagged as Field user.

  • Concurrent license is occupied when user launches a program without the [Exit] button (i.e., a program train such as GL Transaction Entry, Enter Voucher, etc.). In this scenario, a license will remain occupied if the user navigates to a different program (regardless of with or without [Exit] button) and license will be released once user clicks on [Exit] button on a program. A license will only be occupied if a program train is launched again by the user.

  • If a user has multiple tabs open and chooses to exit on one tab, a warning is generated about every 10 minutes if the user continues to use a program in a separate window when there are no available license spots.

    • If there are available license spots, license will be allocated to the user when user is working on program in a separate window.

For Cloud customers and Enterprise customers running Named Enterprise, a user must be in a pool of type: Collab, Enterprise, Field, Enterprise and Field, Site Management or CRM, otherwise the user will get an error informing them they are not allowed to run the application. This may not apply for pools in which you have unlimited licenses.
