Human Resources - Creating an ACA File

Overview

This article outlines the setup and process required to create an ACA (Affordable Care Act) file for use with Greenshades. Setup

Pgm: HRBDADM – Benefit and Deduction Setup; standard Treeview path: Human Resources > Benefit Administration > Benefit/Deduction Administration > Benefit/Deduction – Health Care tab

Users must first select an ACA health care coverage type from the Health Care tab on the Benefit/Deduction Setup screen as shown in the screenshot above. These coverage types are system-defined.

NOTE: This tab is enabled when the 'Health Care Insurance' box is checked on the Master Setup pop-up launched from the [Master Setup] button in the Master section of the Benefit and Deduction Setup screen. For more information, please refer to Health Care - Tab.

Process

Creating an ACA file requires first building the report data using the Build 1095C Report Data screen and then accessing the report using the ACA 1095C Filing screen.

Build Report Data

Pgm: HRACA_BLDDATA – Affordable Care Act-Build Report Data; standard Treeview path: Human Resources > Reports > Affordable Care Act > Build 1095C Report Data

The Affordable Care Act-Build Report Data screen allows users to build a file of all relevant ACA data associated with the entered FEIN for the given report year.

Rebuild Report Data (Monthly)

Pgm: HRACA_BLDDATA_MONTHLY_HIST - ACA 1095-C Form Filing; standard Treeview path: Human Resources > Reports > Affordable Care Act > ACA Monthly Build > ACA 1095C Query (Yearly)

If ACA data has already been processed for an entire year, then the Monthly Built Data Query screen can be used to rebuild that data on a monthly basis. For more information, please refer to Human Resources - ACA Data Query (Monthly).

Rebuild Report Data (Yearly)

Pgm: HRACA_BLDDATA_MONTHLY_HIST – ACA 1095-C Form Filing

If ACA data has already been processed for an entire year, then the ACA 1095-C Form Filing screen can be used to rebuild that data on a yearly basis. For more information, please refer to Human Resources - ACA Data Query (Yearly).

Process and Download File

Pgm: HRACA_FILING – Affordable Care Act-Filing Parameter Screen; standard Treeview path: Human Resources > Reports > Affordable Care Act > ACA 1095C Filing

The Affordable Care Act-Filing Parameter Screen can be used to process and download the ACA file for use with Greenshades. For more information, please refer to ACA 1095C Filing.
