General Ledger - Prevent Posting to an Account
This process demonstrates how to prevent users from posting to a GL account.
Step 1: Verify Company's Chart of Accounts
Pgm: COMPSETUP – Maintain Companies; standard Treeview path: General Ledger > Setup > Maintain Companies
Verify the chart of accounts used by the company in the Maintain Companies screen.
Step 2: Select Account for Subledger Control
Pgm: ACCFRM – Account Maintenance; standard Treeview path: General Ledger > Setup > Maintain Accounts
Enter/select "XX" in the account's Subledger Control field in the General Ledger - Maintain Accounts (Chart of Accounts) screen.
Step 3: Disallow User From Posting to Subledger Control Accounts
Pgm: SDUSRMNT – User Maintenance; standard Treeview path: System > Security > User Maintenance – System Privileges tab
Verify that the user does not have the 'SUBLGACC (GL: Allows the user to post to GL Subledger Control Accounts)' privilege assigned in the System Privileges tab on the User Maintenance screen. For more information, please refer to System Privileges – Tab.
If a user without this privilege tries to post to the subledger account, an error message will be generated, as shown in the screenshot below:
Pgm: VOUCHENT – Enter Voucher; standard Treeview path: Accounts Payable > Voucher > Enter Voucher – Voucher Detail tab
As well, if the same user tries to set up the account on a cost category, an error message will be generated, as shown in the screenshot below:
Pgm: JCCATFM – Maintain Cost Categories; standard Treeview path: Job Costing > Setup > Local Tables > Enter Category
