Human Resources - Human Resources Control File

The Human Resources Control File screen is used to store default, company-specific information used by the Human Resources module. There are links between Human Resources and the US and International Payroll modules. Therefore, some values in this program may be left blank if they have already been set-up in the US Payroll module.

General – Tab

Format Mask for SSN

To ensure that both US social security numbers (SSN) and Canadian social insurance numbers (SIN) are formatted correctly, enter the relevant format here. The SSN format is entered by default.

Leave Code for Vacations

Enter/select the code used for vacation hours. This is used by queries and reports to determine which hours and pay are for vacation time. It is also used by the Year-End Update screen to determine which leave types to reset and roll forward (standard Treeview path: Human Resources > Utility > Year-End Update).

This field may be left blank if the leave code has already been defined for this company in either of the Payroll modules.

Hours to Qualify for Vacation

Enter the number of yearly hours worked, over which, an employee qualifies for vacation time. The Year-End Update screen uses this to determine which employees qualify for vacation in the next year.

Update Method For Years Of Service

This drop-down list allows selection of the method to be used for updating or increasing employees’ years of service. There are two options:

  • Using the Year-End Update screen. This is the original method using the 'Increment the Years of Service Count' checkbox on the Year-End Update screen (standard Treeview path: Human Resources > Utility > Year-End Update). For more information, please refer to Human Resources - Year-End Update.

  • Using the Seniority Date via the Nightly Years of Service Update found in System Options (standard Treeview path: System > Setup > System Options – General tab – [Job Queue] button). The Years of Service field is incremented based on seniority date and hours worked in the prior twelve months as of the current date. For more information, please refer to the [Job Queues] button in System Data - System Options - General - Tab.

    NOTE: In order to use the "Daily Process Based on Seniority Date" option:

    • The Hours To Qualify For Years Of Service field must be set to "160".

    • The Seniority Date field must be populated on the Personal – Tab of the Employee Profile screen.

Hours To Qualify For Years Of Service

This field specifies the number of hours required to qualify for years of service increase. It is mandatory when the second option is selected from the Update Method For Years Of Service field.

Years of Service Update Reason Code

Enter/select the reason code used when an employee’s years of service value is updated. When the nightly payroll years of service update is run, this code is added to the change record which appears in the Employee History screen (standard Treeview path: US Payroll > Setup > Employees > Employee History).

Qualifying Hours

Enter the number of hours an employee must work to be eligible for enrollment in the company pension plan. This value is used by the Processing Eligibility screen (standard Treeview path: Human Resources > Utility > Processing Eligibility).

Minimum Qualifying Months

Enter the number of months an employee must work to be eligible for enrollment in the company pension plan. This value is used by the Processing Eligibility screen.

Maximum Qualifying Months

Enter the maximum number of months that an employee may work to accumulate the qualifying hours. This value is used by the Processing Eligibility screen.

Hours Worked By "Non-Employees" (OSHA 300A)

Enter the number of hours worked by people who were not employees of the company, to be used on the OSHA 300A Report.

Reason Code To be Used From Compensation Management

Enter/select a reason code to be used when making salary adjustments in the Salary Planning screen in the HCM module (standard Treeview path: HCM > Compensation Management > Salary Planning). These codes can be set-up in the Text Codes screen (standard Treeview path: System > Global Tables > Text Code).

Display Warning for Duplicate Course or Certificate/License – Checkbox

Check this box to display a warning when a duplicate course, certificate, or license is entered for the same employee in the Training/Certification sub-menu (standard Treeview path: Human Resources > Training/Certification).

Safety – Tab

The safety tab can be used to enter information regarding company safety protocols.

Enter Text Type for Incident Reason (Codes)

Enter/select the text type to be used when recording incidents. These codes can be set-up in the Text Type screen (standard Treeview path: Systems > Global Tables > Text Type). The associated Text Codes (standard Treeview path: System > Global Tables > Text Code) can then be entered as the reason code when are using the Enter Incidents screen (standard Treeview path: Human Resources > Safety > Enter Incidents).

Incident Number Mask

Enter the desired format of incident number entry.

Number of Hours to Issue Safety Certificates

Enter the number of yearly hours worked, over which, employees be issued with a safety certificate. This field is used by the Print Safety Certificates screen to determine the employees who should receive safety certificates and by how much to reduce their unused accumulation of safe hours (standard Treeview path: Human Resources > Safety > Print Safety Certificates).

Safety Certificate Dollar Value

Enter the dollar value that should be printed on the employee safety certificate and stored in the database with the record of that certificate.

Safety Certificate Is Valid For

Enter the number of months for which a safety certificate is valid.

Safe Hours Type

Select whether any hours may be entered as safe hours, or if only hours worked by employees on their allocated jobs may be entered.

Safety Based On Controlling Job – Checkbox

Check this box to accumulate safe hours from the master job.

Pension – Tab

The pension tab is used to enter various base codes relating to the accumulation and payment of pensions.

OSHA – Tab

The Occupational Safety and Health Act (OSHA) tab is used to enter default values which appear in OSHA safety reports.

Report

Select whether to customize OSHA300, OSHA300A, or OSHA301 reports.

Enter any text that is to appear on the report type selected above.
