Construct ESS - Registration Process

Overview

When you give your employees access to the CMiC Employee Self Service (ESS) module, you offer them the ability to access and manage essential information such as payroll, vacation, benefits, and timesheets - without having to engage directly with members of the HR team. In addition to the desktop version, CMiC’s completely re-designed Construct ESS app for mobile devices brings the robust features of our HCM solution to tablets and smartphones, making the capabilities more accessible and easier to use from anywhere and on any iOS or Android device.

Users can view and manage:

  • Personal information

  • Pay stubs

  • Vacation balances

  • Enrolled benefits and future enrolment options

  • Timesheets (individual and team member)

This article describes the employee component of the registration process for ESS.

Email Setup for ESS Registration

The ESS registration process requires that an email address is entered for the employee under the Address tab of the Employee Profile in the US Payroll module.

There are two email address fields in the Employee Profile under the Address tab: Email Address (which is considered as personal), and Work Email Address.

The registration email will be sent to the employee's personal email address or work email address, depending on the default email setting indicated in the Payroll tab of the System Options screen in the System Data module.

The Email to Use for ESS Notification field is used to set the default email setting for ESS system notifications.

Granting Access to Employee Self Service

An employee's ESS access is enabled in the HCM/Talent Management module.

In the Employee Maintenance screen, check the 'Access To Self-Service' box for the employee and press the [Update] button.

As soon as the record is updated, the employee will receive a registration email.

When the employee receives the email, they can either click on the green [Register] button or copy the link into a browser.

The employee must enter their date of birth, employee number, and SSN. Next, they must press [Register].

Once the employee is registered, they will be prompted to sign in with their existing user ID and password if they are already an Enterprise user. If they are not already an Enterprise user, an option is provided to create a user ID and password by clicking on the “Don’t have an account? Sign up.” link.

Once this process is completed, the employee will be taken to ESS.

Additional Security for Desktop Version

If you have initiated the pin code feature in the Human Resources tab of the System Options screen in the System Data module, then the employee will receive an email with a temporary pin code.

This feature is specifically for desktop ESS applications. The CMiC application stays active for a period of time when a computer is in an idle state and this feature allows an employee who may have been logged out to enter a pin to re-login to Self-Service.

NOTE: This does not apply to Construct ESS.

The employee can either click on the green [Login] button or copy the URL into a browser.

The employee will be prompted to enter their user ID and password, and then press [Sign In].

Next, the employee will be prompted to specify their temporary pin number and then click [Continue].

The employee will then be prompted to change the temporary pin code with a new pin code.

If the pin code feature is not initiated or de-activated, then the employee will be required to log into ESS using their user id and password.
