ESS Administrator Setup

The following steps are required to set up an Enterprise user as an ESS Administrator.

Step 1: Security Role Assignment

Security Roles; standard Treeview path: Employee Self-Service > Security > Role Maintenance

Administrators need to be granted the appropriate privileges before using the ESS module. Press the [Add A New Role] button to create the appropriate administrative role. The role highlighted above (ESS-ADMIN) is user-created and fulfills this function. If all administrators are to have the same privileges, only one role code need be defined. To add a user to the role, select the “Assign Users” option from the Assign column.

Non-administrative employees are instead added to the ESSBASIC role code. New employees are automatically assigned to this code so no manual assignment is necessary.

Step 2: Define HR Security Role

HR Role Maintenance; standard Treeview path: Human Capital Management > File Maintenance > HR Role Maintenance

Use this screen to define an approver role for ESS. Press the [Add] button to define the role and select which objects the role can view, edit, reject, or approve.

Step 3: Assign HR Security Role through Partner Screen

Partners; standard Treeview path: Project Management > Security > Partners

HR roles are assigned to ESS administrators via their contact records, found in the Partners screen. In this screen, search for the company to which the administrator belongs, then click the link under the Name column to view that company’s contact records.

Next, search for the desired administrator, and click the Edit icon under the Action column. Next, select the relevant HR Role via the HR Role field on the System Contact Info tab, as shown below.

Step 4: Grant Access to ESS

The way in which ESS administrators and employees are granted access to the ESS system is the same. For details, please refer to Step 1: Grant Access to ESS.
