E-Time Configuration

The E-Time module allows employees to enter timesheets and expense claims. This module is linked directly to the CMiC Enterprise database, allowing data validation at point of entry.

Timesheet entry and approval in E-Time also allows for two extra hour types, JCHR and NBHR, that are not available in the US Payroll module.

Job Cost Hours Type (JCHR)

The JCHR hour type is used for time entered when the employee pay rate is zero, but the charge and bill rates are non-zero and these transactions are posted to the Job Costing module during payroll processing.

When E-Time timesheets are posted, JCHR hours are converted to normal working hours (NWHR) and posted to the Enterprise Payroll Timesheet tables.

Non-Billable Hours Type (NBHR)

This hour type is used for time entered where the employee pay, charge, and bill rate are all zero. These types of hours are treated as memo hours rather than actual hours. There is also the option to post NBHR type hours to the Job Costing module. In this case these transactions are quantity-only.

When E-Time timesheets are posted, NBHR time is not posted to the US Payroll module unless the 'Non Billable Hours Post to Job Cost' box is checked on the Company Control screen (standard Treeview path: US Payroll > Setup > Company > Control – E-Timesheet). In this case, the NBHR time is converted to the OTHER hour type and posted to the Job Costing module, which causes an increase in the quantity of hours.

E-Time Timesheet Setup

As it is integrated with the Enterprise system, some of the setup required for E-Time can be done via the US Payroll module rather than E-Time itself. This section lists the setup steps in the recommended order. Each step is documented in detail later in this guide.

If defining one employee with one access code the access code can be defined on the Employee Profile screen.

E-Time > E-Timesheet > Access Code Administration.

This screen is where employees, jobs, accounts, and administrators are assigned access codes.

This screen is for choosing which Other Hours hour types are available in E-Time.

This screen is for choosing whether non-billable hours will be posted to the Job Costing module.

Creating Pay Runs for E-Time

Within the US Payroll module, the pay run determines the frequency with which wages are calculated during payroll processing. E-Time is slightly different in that it allows the linking of pay runs with different frequencies. For example, a payroll that processes every other week may be linked to one that does so through weekly timesheet entry. Before setting up this link, create two pay run codes: one for the bi-weekly pay run and one for the weekly pay run.

Pay Period Setup

Before using the E-Time module pay periods should be set up for the company and its employees. The process is as follows:

  • Create all pay runs in the Pay Run screen in Enterprise (standard Treeview path: US Payroll > Setup > Local Tables > Pay Run).

  • For pay periods to be used in Enterprise, create them directly in the Enterprise Pay Periods screen (standard Treeview path: US Payroll > Setup > Company > Pay Periods).

  • For pay periods to be used in the E-Time module, create them in the Timesheet screen in E-Time and, from that screen, link the pay run related to the corresponding Enterprise pay periods to the new E-Time pay periods.

Employee Profile Setup for E-Time

When creating employees, please be aware of four key items on the Employee Profile related to the E-Time module.

  • The E-Time field on the Company tab should be filled with the one of the weekly pay run codes defined in the Timesheet Period Setup screen (standard Treeview path: E-Time > E-Timesheet > Timesheet Period Setup).

  • The 'Entered Overtime' and 'Entered Double Overtime' boxes should be checked on the Rates/Salary tab if the employee is to enter overtime and double overtime hours via the E-Time module.

  • If creating a one-to-one relationship between access codes and employee codes, press the [Create Access Code] button on the HCM tab to create an access code for that employee.

  • If an employee is to enter expenses via the E-Expense Entry screen, enter/select the expense approver group the Exp Appr Group field in the Company tab.
