General Ledger - New Company Setup - Create New Company

Step 1: Create New Company

Pgm: COMPSETUP – Maintain Companies; standard Treeview path: General Ledger > Setup > Company Setup

Companies are set up on the Maintain Companies screen in the General Ledger module. When this screen opens, records are displayed in table view, which lists of all the companies that currently exist in the software.

The new company will require an identifying code on this screen. This code will be used to identify this company in all modules once it has been set up.

To add a new company, click on the [Add New] button in the Console Toolbar.

The new company will require an identifying code, which is entered in the Company Code field. This code will be used to identify this company in all modules once it has been set up.

The user who created the company automatically gets access to the company on the Security tab of the Maintain Companies screen.

The user who created the company also automatically gets access to that company on the Company Access tab of the User Maintenance screen.

At this point, only this user has access to the new company. Not even DA has access to the new company.

NOTE: When a user logs into the system using their username and password, as opposed to logging in as DA, and the user creates a new company, security access to that company is not automatically assigned to DA. DA must be granted security access to that company; otherwise, the company will not be visible in the system to DA.

Step 2: Assign Company Access

Access can be granted to a new company in several ways.

Maintain Companies – Security tab

As mentioned in the previous step, when a user creates a new company, that user is automatically granted access to the company and therefore their user ID will appear on the Security tab of the Maintain Companies screen. To grant access to additional users, click the [Insert] button on the Block Toolbar and enter/select desired user IDs.

Any user added on the Security tab of the Maintain Companies screen will automatically have that company code listed on their user profile in the Company Access tab of the User Maintenance screen.

Access can also be granted to users on the Company Access tab of the User Maintenance screen. If a user is added here, the Security tab of the Maintain Companies screen will also be updated with this user ID.

The Security tab provides a convenient way to see all the users who have been granted access to a company.

User Maintenance – Consolidations Access (Optional)

Company access can also be assigned through consolidation access codes. When granting a user access to a company using consolidation access codes, the user will receive access to all the companies within the consolidation hierarchy.

Example of two companies (MRC1 and MRC2) created under MR Construction (MRC)

The “MRCALL” consolidation code was created for MR Construction in Step 4: Define Company Consolidation Codes (Optional). Two additional companies have been created under MR Construction using the consolidation code “MRCALL”, as shown in the screenshot above.

If a user is assigned company access using a consolidation code on the Consolidations Access tab of the User Maintenance screen, for example “MRCALL”, then that user will gain access to all the companies within the consolidation hierarchy using that consolidation code.
