  • Updated Adjust Voucher Status – Screen section to detail the security privilege which allows users to change the discount amount.

Updated Setup section as follows:

  • Updated AP Control File > Check - Tab > AP Check Options section to include a description for two new fields: the EFT Last Check Sequence Number field and the 'Record Renumbering Checks As Wasted' checkbox.

  • Updated Vendor Pick List > [Selection Criteria] – Button section with a current screenshot to accurately reflect the field names. Also clarified description to match field names accordingly.

  • Added a new subsection for Business Partner Territory.

Updated Reports section with a new report for Aged Report Summary. This existing report contains a new option to include/exclude deposits in the output.

Updated CMiC Field Security as follows:

  • Updated Security Roles section to clarify how the 'Admin' checkbox works.

  • Updated Contacts > User Defaults – Tab section with details about the Language field.

Updated Communication Management section as follows:

  • Updated Meeting Minutes > Creating A New Meeting > Agenda – Section with an updated screenshot and details about the Delete icon.

  • Updated RFIs > RFI Detail – Tab > Request – Section with a note to indicate that the default for both Schedule Impact and Cost Impact is set to "No".

  • Updated RFIs > RFI Detail – Tab > Main Toolbar Buttons section to include details about the 'Copy Related Objects' functionality in the field descriptions for the [Forward] button and the [Update Ref. RFI] button.

  • Updated Issues section to update the Severity field to indicate that the default for that field is set in the General tab of the Project System Options screen.

Updated Document Management section as follows:

  • Updated Submittals > Submittal Detail – Tab section with a new subsection for the re-addition of the Response section.

  • Updated Submittal Packages section to provide more details about the pop-up window launched from the [Add Submittal] button, as well as the ability to sort submittals according to partner.

  • Updated Documents section with a new subsection titled Opening a Document Record to clarify how document records are opened, as well as to provide details about the locking/unlocking and checking in/out functionality available on the document record screen.

  • Updated Document Options Setup > Package - Tab section under the Package ID Mask field description to include two new pre-defined codes to the list of available mask codes: l=Location and e=Sheet Number. These two codes are used to support drawing management.

  • Updated Drawing Upload and Extraction Tool > Upload PDF Drawing Set section to indicate that the Drawing Upload tool only supports the upload of PDF files.

Updated Budget & Cost Management section as follows:

  • Updated Subcontracts section as follows:

    • Updated Subcontracts Detail - Tab > Schedule of Values – Section to indicate that WBS codes can be linked to subcontracts using the WBS Code columns.

    • Updated Subcontracts Detail - Tab > Payments - Section to add details to the 'Compliant' checkbox to indicate that checking this box will affect the value of the Compliance, Date Compliance, and Fully Compliant columns in the Compliance Status Log.

    • Updated Other Buttons > [Compliance] - Button section to add details about the 'Compl' checkbox and the 'Date Compl' checkbox. Also clarified how the [Documents] button is used in the Compliance pop-up window. In addition, indicated that updates made using this button affects what appears in the Compliance Status Log for that subcontract.

  • Updated Potential Change Items section as follows:

    • Updated PCI Detail - Tab > PCI Code – Section to add details about the 'Allow Costs' checkbox.

    • Updated RFQ - Tab section with updated screenshot to show Vendor Name column.

    • Updated PCI Markup Rules section to indicate under the description for the 'Total Markup Flag' that only one markup rule per job should have this box checked. Also updated description for Rounding Rule field to include the additional options now available.

  • Renamed "Viewing Compliance Log" to "Compliance Status Log" and reviewed the existing content. Added additional details for the following columns: Compliance, Date Compliance Flag, and Fully Compliant.

Updated Site Management section as follows:

  • Updated Daily Journal section with a new subsection for the Review/Approval - Tab.

  • Updated Punch List Items section as follows:

    • Removed the statement "To share a punch list item, press the Share icon () at the end of its detail line." as this feature has been excluded as of Patch 14-1 onwards.

    • Added details regarding the [Print] button.

  • Added new section for Checklists (Beta).

Updated Reports section as follows:

  • Updated Printing a Report section to add details to the description for the Template field which indicates where templates can be created and provides a cross-reference to the Report Assignment section.

  • Added new section for Emailing Reports.

  • Added a new section for Punch List Report.

Updated File Maintenance section as follows:

  • Reviewed and edited Local Tables > CSI Code Maintenance section to clarify how this screen is used. Also made updates to Trade Type Maintenance section to change the section heading to "Trade Maintenance" to match the new screen name, and update the new field names to "Trade Stamp" and "Trade Name".

  • Updated Project System Options section as follows:

    • Updated General - Tab section with a description for the Maximum Download Link Expiration (days) field, and the Default Issue Priority field.

    • Updated Submittal - Tab section to clarify the Spec Section LOV Options field and the Spec Sub-Section LOV Options field.

  • Updated Company Control > Change Management - Tab section with details about the PCI Amount to Sync with SCO SOV when Linking PCI to SCO field.

  • Updated and reviewed Reports and Form Letter Assignment section to improve layout and clarify description for 'Default' checkbox.

  • Updated User Defaults Maintenance section with an updated screenshot to show the new Locale field.

Completed minor formatting and editing throughout the guide.
Comdata Integration - R12 This guide has been reviewed and updated with latest features and functionality. The bulk of the changes reside in Preparing Checks for a Selection Group section and Preparing Checks for a Pay Run Group section.

Updated Setup > Check Release and Check Reconciliation Feature section to clarify how this feature is used.

Two new sections were added:

  • Comdata Discrete Checks and Payments

  • Comdata Processing Improvements

Updated Creating Comdata Vendor Report Using CMiC BI section to change name to "Creating a Vendor Report Using CMiC BI" and made the section more generic.
Contract Forecast with PCI Projections - R12

Updated Bill Codes (Detail) – Section as follows:

  • Included details about the new Profit Budget Amount column.

  • Added details about the Groups 1-5 columns.

Updated Color Highlights and Hover Text for Cost to Complete and Cost Forecast Columns section to include two new rows to the table for Proj Cost Forecast (Incl. Pending CO) for yellow and green hover text.
Corpay Integration - R12 Nvoicepay has been re-branded to Corpay so the integration guide has been updated to reflect this change.
Enterprise Content Management - R12

Updated Auto Cold Storage (ASC) section as follows:

  • Updated Overview section with additional details about using ASC. Also updated the note to indicate that ASC also works with Jasper reports now.

  • Added new section for Document Types for Cold Storage. This section includes a cross-reference to the Imaging guide to provide the user with more information about setting up document types for cold storage.

ESS Employees and Applicants - R12 Updated ESS Registration section to indicate where Azure Authentication can be set up for ESS Registration.
Added new section called System Options for ESS which details the setting options located in the Self Service tab of the System Options screen in the System Data module.
Added new section called Azure Authentication for ESS which details how to set up Azure Authentication in the ESS module.

Updated Personal Information section as follows:

  • Updated Profile Information section with a new screenshot to reflect the latest GUI.

  • Updated Annual Evaluation section with a new screenshot to reflect the latest GUI.

Equipment Costing - R12 Updated Enter New Equipment > Equipment - Section > Billing Cap - Tab section to indicate that this tab is enabled when the 'Use Billing Revenue Cap' checkbox is checked on the Asset tab of the System Options screen in the System Data module. Also updated to indicate that this option is available for the standard auto-charge functionality when billing rates are used in the Equipment Costing module.
Updated Setup > Equipment Classes section to indicate that Exclude Discounts, Exclude from Billing Replacement Value, and Exclude from Value Cap checkboxes are used in conjunction with the standard auto-charge functionality when billing rates are used in the Equipment Costing module.
Fixed Assets - R12 Updated Querying Data > Asset Query section with details regarding the 'Include Disposed Of Assets' checkbox.
General Ledger - R12 Updated Setup > Local Tables > Maintain Departments section with a new screenshot to reflect the addition of the [Import] button on the screen's Block toolbar. Under the Department Details tab, updated description for the 'Active' checkbox to indicate that the GLVINADPT system privilege not only allows users to view, but also to update inactive department records now.
Updated Utilities section with a new subsection for Update Transaction TAC Values.

Updated Financial Document Formatter 2.0 section as follows:

  • Updated Overview section by deleting the note and the Roadmap subsection and including a new section for Known Issues.

  • Updated Copy Document section with details regarding the 'Version 2.0' checkbox.

  • Updated Create New Financial Document from Scratch section as follows:

    • Added note to Range field description under Part 1: Define Document Header section to indicate that as soon as a row is committed, the Range field will be display only.

    • Added note to Part 2: Document Row Formatting section to indicate that Underline printing for Text functions currently prints only when the range rows are expanded, and will be fixed in an upcoming release.

Getting Started - R12 Updated CMiC Software Environment section to replace "Internet Explorer 11" with "Microsoft Edge" browser.
Human Capital Management - R12 Updated File Maintenance > Employee Maintenance section to indicate that the Employee Maintenance screen can be used as part of the Azure Authentication process.
Human Resources - R12

Updated Benefit and Deduction Administration section as follows:

  • Re-named "Eligibility Administration" section to "Benefit and Deduction Eligibility". Reviewed and updated existing content and added new subsection for Import Zip Codes.

  • Added a new subsection for Updating Benefits and Deductions at Year End.

Imaging - R12 Updated Working with Images > Entering/Updating Flysheet Data section to include a note in the description of the [Upload Multiple Documents] button to indicate that this button cannot be used to upload very large documents and that the single document [Upload] button should be used instead.
Updated Imaging Setup > Imaging Control > Imaging Controls – Tab > Invoice Validation – Section under the 'Enable Voucher Imaging Linking' checkbox field to add a reference to Appendix C, Backfilling Images for Existing Transactions.

Updated Imaging Setup > Creating Fillable PDFs and Dynamic Flysheets section as follows:

  • Updated Setting Up a Flysheet section to include details about the [Create New] button, which is used to create a new flysheet. Also updated this section to clarify how Project Documents are used in the Edit Header section. Added a cross-reference to "Using Project Document in the Flysheet Builder" for additional details on using the 'Project Documents' checkbox workflow.

  • Updated Editing Inputs and Saving a Flysheet section to clarify how these features work. This includes creating a new section with detailed steps for using predefined and custom lists.

Updated Appendices > Appendix C section to clarify that "IMGSO_LINK_DOC_TO_VOUCHER_FLAG" is the ' Enable Voucher Image Linking' checkbox which is located in Imaging Controls.

Updated Quick Guides as follows:

  • Updated Importing Comdata/Concur Invoice Data into Imaging section as follows:

    • Included more detail in the Overview section.

    • Added a note to the Process section regarding uploading zipped files of images and added details to the following fields: Document Type, 'Use Transaction Amount as Credit' checkbox, 'Skip Zero Transaction Amounts' checkbox, and 'Import Header Only' checkbox.

    • Updated Field Mapping section with a note to indicate that no header is needed on the upload file. Included a sample mapped file.

  • Added new quick guide for Predefined Lists and Custom Lists in the Dynamic Flysheet Builder.

Updated Creating a Billing Contract >Contract Entry section as follows:

  • Updated Defaults - Tab section to include details about the Remittance Details field.

  • Updated Billing Codes – Tab (Creating Billing Items) section with details regarding the ‘Lst Rel %’ checkbox.

Updated Creating a Bill > Preparing the Billing > G/C Prepare Billing (General Contractor Prepare Billing) - Screen section as follows:

  • Clarified that a PO number must be entered in the PO/WO Number field for the PO number to print on the billing invoice. Also updated to indicate that a PO number will only print on free-form invoices.

  • Updated [Mass Update] – Block Toolbar Button section to indicate that users may mass update the Ret. % and % Completed fields of the Group 1 to 5 and Bill Code Detail tabs if there is a negative amount on the budget.

Updated Queries > Transaction Detail Query section to provide details about how the Data Filters section is used on this screen.

Updated Setup section as follows:

  • Updated JB Control File > Invoice – Tab section with details about the Remittance Details field.

  • Updated Defining Invoice Formats > Invoice Options – Tab > Freeform Invoice Style Options section to include details about the 'Print Remittance Details' checkbox is used to print remittance details and the 'Show California Notary' checkbox used to print the California G702 Notary invoice format.

Job Costing - R12

Updated Creating a Job section as follows:

  • Updated Enter Job - Screen section with two new subsections:

    • Cost Status Query Mapping - Tab

    • WBS - Tab

  • Updated Assign Cost Codes (Phases) – Screen section with a new subsection for Using a Template with Locked Cost Codes.

  • Updated Enter Budget – Screen section to add a note to the Active Cost Code/Active Cat fields to indicate that if the category has been added to a locked cost code, the Active Cat checkbox will be disabled.

Updated Using WBS Capabilities section as follows:

  • Moved Work Breakdown Structure (WBS) section to the Overview subsection.

  • Added note to indicate that when entering transactions, it is recommended to not skip WBS codes.

  • Clarified how to assign WBS default values at the job or the cost code/category levels when creating a new job.

Updated Working with Bid Jobs > Win/Lose Bid – Screen section to detail the Cost Code Template field on the Open Bids tab.

Opportunity Management - R12 Updated Organizations > Detail - Tab section to clarify how the Market Sector section of the screen is used

Updated Opportunities > Opportunity Management - Section as follows:

  • Re-schuffled some of the descriptions on various tabs in this section to accurately reflect the location and flow of the fields in the software.

  • Updated the General - Tab section to clarify how the Ctrl Market Sector field is used. Also added clarifications to the Market Sectors - Tab section.

  • Updated Team - Tab section to include a description for the [Add Key Player] button in the Opportunity Team subsection.

  • Added new subsection for Sub Opportunities - Tab.

Updated Setup section as follows:

  • Updated Company Control > Configure OM Module for Company section with a cross-reference in the 'Submarket' checkbox field to Opportunities > General - Tab section to provide more information about how this option works on the Opportunity screen.

  • Updated Opportunity Market Sector section to clarify how market sectors are used in the OM module.

  • Reviewed and edited Setup section to ensure the sub-sections are formatted consistently.

Pay Request - R12

Updated Publish Pay Request Project > Publish Project in Pay Request section as follows:

  • Updated to indicate that after a project is registered to DX (Data Exchange) and mapped to Pay Request, users must click the [Sync Data] button to sync data in Pay Request.

  • Updated to clarify that the 'Voucher' checkbox under the Data Exchange tab in Project Maintenance must be checked.

Updated Create Subcontract Tied to Pay Request section to include details about the payment request window notifications.
Updated Create Pay Request section with updated screenshots and details to reflect latest functionality on the screens when creating an RFP. Added new details to the Document & Signatures tab to describe how each of the panels on this tab are used (i.e. Generate Documents, Download Templates, and Upload Documents). Also added a new subsection to define the various Pay Request stages that could be displayed in the Status field.

Removed DX User Access section as the DX User Access screen covered in this section has been replaced with the User Access Administration screen. The User Access Administration section is a new subsection within PM Exchange Setup.

Updated Procore Integration section as follows:

  • Added a note to several sections to indicate that users should consult with their CMiC representative and implementation staff before proceeding with any of the steps outlined in the documentation.

  • Removed Attachments and Checking Logs sections as these sections contain mainly development information.

  • Updated Set Up Service Account in Procore section with new screenshots and revised steps.

  • Updated Set Up Webhooks in Procore section with a new screenshot and revised steps.

Updated PM Exchange Setup section with a new subsection for User Access Administration.
Purchase Order - R12 Updated Enter Purchase Order > Overview – Enter Purchase Order section with a note to indicate that details must be entered and saved in the PO header before line item details can be entered in the Purchase Order Detail section. This note was also added to the Purchase Order Detail – Section > Line Item Details section.
Subcontract Management - R12 Updated Contracts > Enter Subcontract/Change Order > Schedule of Values - Tab section with a new subsection for WBS Code 1, 2, 3, 4.
Added a note to Status > Compliance Status Pop-Up > Screen’s Buttons - [Documents] Button section to clarify that this button is not used to attach documents. It is used to record reference details regarding documents that may be attached to the subcontract that are related to the compliance codes.
Subcontractor Prequalification - R12 Updated Subcontractor Prequalification > Subcontractor Prequalification Applicants section with updated screenshots to accurately reflect the latest GUI in CMiC Field.
Updated Self Service > Subcontractor Prequalification Questionnaire > Surety and Financial Information section to update the screenshot to reflect the addition of the new Currency field on page 4 of the Subcontractor Prequalification Questionnaire.

System Administration - R12 Updated Quartz Utility - System Guide > Troubleshooting section with a new subsection for Invalid Memory Access.

System Data - R12

Updated Setup > System Options section as follows:

  • Updated General - Tab > Other > [Web Servers] - Button section to clarify the Code 1 description in the table that describes the web server tasks. This description now indicates that there are two areas that depend on this field: one being Workflow Email, and the other being the new IO email authentication that uses Microsoft Graph.

  • Updated Projects - Tab section with details regarding the 'Not Allow Delete PCI' checkbox.

  • Updated Human Resource - Tab section to remove the 'Login Employee Self Service VIA PIN Code' checkbox as this functionality has been replaced with the 'Require PIN Code to Login to ESS' checkbox located on the new Self Service tab.

  • Added new subsection for the Self Service - Tab which is used to control various features in the ESS module.

Updated Security section as follows:

  • Updated Roles > Define Roles section to document the new security privilege, APVOUDISC, which allows the user to update discount amount on the Adjust Voucher Status screen. Also updated description for the GLVINADPT system privilege to indicate "GL: Allow User to View/Update Inactive Departments" since this privilege now also allows users to update inactive departments as well.

  • Updated Users > User Maintenance > General - Tab section to provide details to the [Upload Photo] button description to indicate that a photo uploaded to the User Maintenance screen will also be displayed on Employee Profile screen in the US Payroll module and on the ESS Profile Information screen in the ESS module.

Updated Global Tables section as follows:

  • Updated Address Codes section to indicate that territory codes available in the Territory field are created on the Territory Maintenance screen.

  • Add a new section for Territory Maintenance.

  • Updated Maintain Data Process as follows:

    • Updated Market Sector section with a note to indicate that the market sector codes being defined here should not be confused with the building type market sector codes that are used in the OM module.

Translation Manager - R12 New! The Translation Manager tool gives users the ability to use the CMiC Enterprise System in different languages. The Translation Manager tool is used to create translations for languages not provided by CMiC, or copy CMiC-provided translations, such as French or Spanish, to use them as a base for the user's own translations.
US Payroll - R12

Updated Company Setup section as follows:

  • Updated Company Maintenance Setup > Payroll Control File Configuration section as follows:

    • Updated Payroll Control - Rules Tab section with a description for the Re-Calculate Charge Rate based on field.

    • Updated the E-Timesheet - Tab section with details for the 'Job Cost Hours for Billing Only' checkbox and the Approver Email field.

  • Updated Pay Groups > Pay Group Detail – Tab section to replace the term "employees" with "users" in the description for the 'Secure' checkbox.

Updated Employees section as follows:

  • Updated Employees > Employee Profile section with a new subsection for Overview, which includes a cross-reference to more details for importing employee profiles.

  • Updated Employees > Employee Profile > Personal - Tab section with details regarding adding an employee profile photo. Also added details to the Work Status field to indicate that codes for this field are maintained on the Employee Work Status screen.

  • Added a new subsection for Importing Employee Profiles.

Added note to Jobs > Jobs Overtime Rules section to indicate that rules created on this screen, along with those created in the Billing Overtime Rules screen in Job Billing, only affect billing amounts.

Updated Processing section as follows:

  • Updated Retroactive Payment Processing section with a new subsection to provide a brief overview of the steps involved in retro payment processing.

Updated Imports > Importing Timesheets From Oracle section to detail the new Customer Employee Number field which has been added to the Oracle Import File and template (IMP_TSH_CUST_EMP_NO). This new field allows for customer data mapping.
