1099 Reporting - R12

Updated Setup section with details to explain how to set up and process Form 1099-NEC and also how to complete updates required in CMiC to existing 1099-MISC setup.

Accounts Payable - R12

Added note to the Processing Invoices section with details regarding the ‘Restrict Posting of Current User’s Own GL/AP Batch’ checkbox, located on the Financial tab of the System Options screen, which is used to control transaction batch postings in the AP and GL modules by restricting users who create AP/GL transaction batches from posting their own batches.
Added more detail to AP vs GL Verification subsection in the Utilities section to clarify how this utility is used.
Updated title of Querying Data section to Query and provided details regarding the AP Business Intelligence (BI) queries.
Updated the AP Control File subsection of the Setup section to include an updated screenshot for the Accounting tab to reflect the new foreign exchange fields.

Accounts Receivable – R12

Updated Enter Receipts subsection of the Payment Processing section to provide details about the [Recalculate] button. Also added a new subsection titled Using the Treasury Receipt to describe how this functionality is used.
Updated title of Viewing Data section to Query and provided details regarding the AR Business Intelligence (BI) queries.
Updated the AR Control File subsection of the Setup section to include an updated screenshot for the Accounting tab to reflect the new foreign exchange fields.

BI Catalog Builder – R12

Updated Import Data Source – Screen section to include details about importing business areas and folders.

Updated the Edit Data Source – Screen section as follows:

  • Updated Add UDF to Folder in BI Catalog Builder subsection to describe the warning message that will be issued if a UDF is removed while it’s used in a dashboard/query.

  • Added new subsection titled Create Calculated Field to Launch Programs Using Targets to describe how calculated fields can be created to launch a program from a field using targets.

  • Updated Refresh (Data Sources, Business Areas, Folders) subsection to reflect the updated pop-up window that is launched when refresh option is applied. It now contains more detailed information about the folders and fields that are going to be deleted as a result of the refresh and the list of dashboards/queries where they are used.

  • Updated Editing Business Areas subsection to provide details about the [Export Business Area] button.

  • Updated Editing Folders subsection to provide details about the [Export Folder] button.

Added new Compare Data Sources – Screen section to describe how this screen is used to see differences between two specified data sources and all their objects like Business Areas, Folders, Fields, Joins and Joins conditions and all their properties.

BI Dashboard Builder – R12

Added BI Analytics subsection to Overview section to describe this new BI tool.
Updated BI Solution Options section to clarify that questions or requests should be submitted in CMiC Support Portal.
Updated screenshots and descriptions throughout guide to reflect the removal of dashboard IDs from LOVs. These IDs are now autogenerated and hidden. Also added more detail regarding queries and card views where required.
Updated Step 1 of the Getting Started – Creating Dashboards section to include additional details regarding assigning security access to dashboards/queries/card views. Updated Step 2 of this section to indicate that validation is performed when creating a new dashboard to prevent duplicate dashboard names.
Updated the File – Menu subsection of BI Dashboard Builder – Screen section to provide details about the Default field and Type field, which allow users to filter by system-default or by type in the Search and Open Dashboard pop-up window when searching for dashboards/queries/cards. The Type field is also available in the Search and Delete Dashboard pop-up window.
Added details to Adding & Configuring Page Filter subsection of the Dashboard – Menu section to indicate that dashboard filter values can be referenced (using substitution value expression) in a visualization filter criterion.
Added Context Information subsection to the Dashboard – Menu section to provide details about how this new menu option is used to show context variables and values, as well as filter value expressions and values.
Added Visualization Calculated Fields subsection to Fields – Pane section to describe how visualization calculated custom fields can be created and added to a folder for each visualization.
Added Advanced Drill-Down Features for BI Dashboard Developers and Designers subsection to the Drill in Place section for Visualizations to provide details about two advanced drill-down features available for dashboard developers and designers.
Updated Pie Charts subsection of Visualizations section to include details regarding funnel chart visualizations.
Updated Part 3: Format subsection of the Gauges section to provide details regarding the vertical and horizontal alignment formatting properties for the callout value.
Updated Part 1: Plotting Fields subsection of the Tables section to provide additional details regarding the options available for properties under Drill in Place. Also added details about the New Calculated Column property.
Added new subsection to Tables section titled Using Calculated Fields to Launch Programs Using Targets to provide links to key reference material to explain how this feature is used.
Updated Setup section with additional details regarding security for dashboards/queries/card views. This includes indicating that security access can be assigned using the Assign Roles to Dashboard screen, BI Analytics screen, or in CMiC Field.

Updated BI Query Builder – Quick Guide as follows:

  • Updated BI Query Builder – Screen section to reflect the removal of dashboard IDs from LOVs.

  • Added note to Step 4: Configure Query’s Properties subsection of Getting Started section to provide links to key reference material to explain how launch fields can be used to open up other programs in table visualizations.

  • Updated Toolbar – Controls subsection of the Query Builder Toolbar section with details regarding the Back icon and the Refresh icon in Card View.

  • Updated the File – Menu subsection of the BI Query Builder – Screen section to provide details about the Default field and Type field, which allow users to filter by system-default or by type in the Search and Open Query pop-up window when searching for queries/cards. (Note: The Type field is also available in the Search and Delete Query pop-up window).

  • Updated Query – Menu subsection of the BI Query Builder – Screen section with details regarding the Insert Filter option and the Context Information option.

CMiC BIM - R12

Reviewed and updated for R12.

CMiC Field - R12

Updated Setting a Project subsection in the CMiC Field Manager section with details regarding using the Project Search bar in the CMiC Field treeview. Also updated Project Roles subsection with details regarding the ‘Default Email Notification Settings’ checkbox.
Updated Meeting Minutes subsection in the Communication Management section with details regarding new enhancements.
Added note to Adding Bidders to the Invitation subsection of the Invitation to Bid section to clarify how the Radius (miles) field is used in the Partners pop-up window.

Completed the following updates in the Budget & Cost Management section:

  • Updated Potential Change Items subsection with details under the [Broadcast RFQs] button field to clarify that Broadcast templates may be added through the Broadcast Message Templates screen.

  • Updated PCI Markup Rules subsection with details regarding the ‘Use Flexible Rate Rather Than Fixed %’ checkbox.

  • Added note to Subcontract Integration with Workflow subsection regarding workflow columns in the SC and SCCO logs.

Updated Daily Journal subsection of Site Management section to provide details regarding the ‘Validate’ checkbox on the Labour tab.
Updated Printing a Report subsection of the Report section to clarify the File option in the Destination field drop-down menu.

Completed the following updates in the File Maintenance section:

  • Updated Submittal Status subsection with details regarding linking status classes to reviewer stages.

  • Updated Broadcast Message Templates subsection with details regarding RFQ broadcast template placeholders.

  • Updated Menu Maintenance subsection with details regarding accessing the Menu Maintenance screen using the Settings icon below the search bar at the top of the treeview.

  • Updated Project Maintenance subsection with details regarding using the Contract Types Maintenance screen.

Completed minor formatting and editing throughout the guide.

CMiC I/O - R12

Added new subsection titled Enabling Debugging to Using CMiC I/O section.

Comdata Integration – Quick Guide – R12

Updated Set Up EFT File Format subsection of the Setup section to detail the setup for handling multiple account codes.
Updated Step 2 of Preparing Checks for Selection Code section to add details regarding the selection of the EFT format before generating the payment/request file.
Updated Step 2 of Generate Comdata Payment/Request File section to add details regarding the selection of the EFT format before generating the payment/request file.

DocuSign Integration – R12

Updated Prerequisites section to clarify that it’s the sending user on the project that must be assigned to a project and have a project role that allows access to the PM document types being used in the integration, as opposed to the DA User ID.

Enterprise Content Management – R12

Updated ECM Document section to reflect the new functionality of the [ECM Documents] button in the Block Toolbar. If the [ECM Documents] button is clicked, as opposed to using the drop-down menu, the ECM Search Documents window will open and you can search for a document. Otherwise, you can use the drop-down menu and perform the same search functionality.

Equipment Costing – R12

Updated Rates by Class subsection of the Setting Equipment Rates section to include details about the [Copy to Job/Class] button, which gives users the ability to copy equipment class rates to a controlling job and/or sub job. The user can copy billing rates and/or charge rates.
Updated Bulk Equipment Quantities subsection of Utilities section to clarify that Bulk Equipment Quantity Entry is used to add Bulk Equipment Quantity to a location. Also updated the description for the bulk equipment Quantity field to specify that this field can’t be negative. In addition, added a new subsection to explain how to write off bulk equipment quantities.
Updated the System Options subsection of the Setup section to provide details about the ‘Restrict Sub Class Only on Equipment’ checkbox located on the Assets tab, which is used to prevent a class from being entered as both a controlling class on the Equipment Classes screen and as a class on the Equipment Maintenance screen at the same time.
Updated Control File subsection of the Setup section to with details regarding the ‘Allow Same Day Transfer’ checkbox, which is located on the Control tab.
Updated Equipment Classes subsection of the Setup Section to describe how the Controlling Class field is used in conjunction with the ‘Restrict Sub Class Only on Equipment’ checkbox located on the Assets tab of the System Options screen in the System Data module.
Updated the Home Locations subsection of the Setup section to describe the ‘Erec Flag’ checkbox.

ESS Administrators - R12

Added new Employee Impersonation subsection to the Manager Self Service section to describe how an ESS user can perform actions in the module on the behalf of other employees.

E-Time – R12

Updated Timesheet Entry section to clarify that the visibility of the Company column is controlled by the ‘System Wide Unique Job Code’ checkbox in the Projects tab of the System Options screen in the System Data module.
Updated Access Code Maintenance subsection of the E-Time Access Codes section to clarify Days Until Password Expires field.

General Ledger – R12

Added note to the Working with Batches subsection of the Transactions section with details regarding the ‘Restrict Posting of Current User’s Own GL/AP Batch’ checkbox, located on the Financial tab of the System Options screen, which is used to control transaction batch postings in the AP and GL modules by restricting users who create AP/GL transaction batches from posting their own batches.
Updated Query section to provide details regarding the GL Business Intelligence (BI) queries.
As Financial Document Formatter 1.0 has been deprecated, the Financial Document Formatter section has been updated to reflect version 2.0 version of the program. Details for version 1.0 of the program have been moved to Appendix B to accommodate the transition period.
Under Utilities section, updated “Accrue Unrealized FX Gain/Loss” subsection title to “Process Unrealized FX Gain/Loss” and added details regarding the ‘Recognize FX Gain/Loss’ checkbox and how it is used to create accrual and non-accrual transactions. Also updated the Reverse/Recreate Posted Transactions subsection to indicate that any notes and attachments added in the GL Transaction Entry screen will be available in the Reverse/Recreate Posted Transactions screen

Getting Started – R12

Added new JSP Help subsection to JSP Screens section include details about JSP error messages.

Imaging – R12

Updated Moving or Deleting Images subsection of the Working with Images section to clarify how to use the [Move] button and the Move Documents screen.
Updated Defining the Document Types subsection of the Imaging Setup section to provide details regarding the 'Unsubmit Flag' checkbox on the Document Types screen. In addition, added details about the ‘Enable Job Security in Imaging’ checkbox in the Imaging Control subsection.
Added note to Security Overview subsection of Imaging Security section about the system privilege ‘APRGINVALL – AP: Allows the forms user access to Registered Invoices created using Imaging’.

Job Billing – R12

Updated the Milestone User Defined billing type code from "MU" to "ME" in the table located in the Milestone Billings Billing Types Overview subsection under Functionality Overview > Billing Types section.

Made the following changes to the Creating a Bill section:

  • Updated Reviewing/Adjusting Related Costs subsection of the Preparing a Billing section to add detail to the [Cost Transactions] button about hiding and unhiding the PY Transaction Description column using Lite Editor.

  • Updated G/C Prepare Billing subsection of Preparing the Billing section to clarify that the color red applies to the Notification field in the Draw Info section for all messages, not just when the message is "Recalculate Bill". In addition, provided details about the [CPR Adjustment] button, used to update Calculated Potential Revenue Amount and Posted Description of posted transactions that may or may not have been included in posted draws.

Updated the Defining Invoice Formats subsection of the Setup section to indicate which formats provide support for up to five levels of groupings. Also updated the Invoice Options – Tab section to document the ‘Show VAT Tax’ checkbox under the Freeform Invoice Style Options.

Job Costing – R12

Added note to the Overview subsection of the Enter Job – Screen section to indicate what happens if the ‘Auto Create Project For Jobs’ and ‘Auto Create Project For Sub Jobs’ boxes are checked in the System Data module when a job is created. Also updated the Original Earnings field in the Job Detail – Tab subsection to indicate that the Projected Profit Amount in the WIP Adjustment screen will be populated with this original Earnings Value, if the Control File is set to use “Job File” in the Projected Profit Amount Source field.
Added details regarding WBS Code1 setup with system defined Code “PCI” to the WBS Codes – Screen subsection of the Using WBS Capabilities section.
Updated Forecasting – Tab subsection of the Control File – Screen section under Setup to provide details regarding the ‘Pending Internal CO Will Not Update Projected Cost Forecast’ checkbox. Also updated the Contract Amount Source field and the Projected Profit Amount source field in the WIP – Tab subsection to clarify and expand on the available options under these two fields, in addition to including a new subsection for WIP Source Field Definitions.

Kofax Integration – R12

Updated Invoice Attributes section with details regarding populating Kofax Comment in User Comment flysheet.

Microsoft Integration Package – R12

Updated Merge with Microsoft Excel section, Step 2, to include details about formatting dates.
Updated Frequently Asked Questions section with new question under Ability to Print PDFs From MIPs, for troubleshooting a user’s ability to preserve MIP document fonts when converting to PDFs.
Added three templates as an appendix to be used with GC Pay Request: GCS Subcontractor Certificate of Payment Template; GCS Unconditional Partial Lien Waiver Template; and GCS Conditional Partial Lien Waiver Template.

Purchase Order - R12

Updated Selection Criteria subsection of the Enter Purchase Order section to provide details about the To Job, To Cost Code, and To Category fields on the pop-up window launched by the [Copy From] button.

Project Gateway User Guide – R12

Updated Setting Up Collaborators subsection of the Setup section to provide details about setting up notification links for Collaborators.

Subcontract Management – R12

Updated Payment section to include details in the Print Certificate of Payment subsection regarding re-printing a Certificate of Payment after SC RFPs have been posted using the Print Certificate of Payments (SC320_3) report. Also added Transfer RFP to Imaging subsection, which details transferring RFPs created in the Job Billing module to the Imaging module.
Added a note to Change Compliance Status – Pop Up subsection of the Status section to indicate that Lite Editor can be used to hide any of the tabs on the Change Compliance Status screen.
Updated the Contracts Defaults – Tab subsection of Control section under Local Tables to describe how the pre-defined mask code “t” for contract type is used in automatic SC numbering.
Created quick guide to demonstrate the complete process for transferring SC RFPs to imaging, includes setup and procedures carried out in the Imaging and Job Billing modules.

Subcontractor Prequalification – R12

Updated the Summary - Tab subsection of the Enter Subcontract/Change Order section with details regarding how the settings in the Contract Type field are used in the Subcontract Management module and in CMiC Field.
 Updated Additional Information Options section with a note under the [Approve Subcontractor] button to indicate that a workflow can be created to advise Accounting to complete the setup by extending business partner to vendor and adding vendor attributes.
Updated the Overview – Prequalification Self Service subsection of the Self Service section with additional details including a note about using the ‘Allow Update Business Partner Info in SS Prequalification’ checkbox in the Project Options screen in CMiC Field. Also updated the Attachments and Submission subsection to indicate that once the Prequalification Questionnaire is submitted, the applicant can’t make any changes unless their application is returned during the approval process.
Updated the Alternate URLs subsection of the Prequalification Control section with additional details about using the Alternate Self-Service URL field.

System Administration Guide – R12

Added note to Lookup Name field in the Lookups By Type section to indicate that making any change to a lookup name, input type or output type may break workflows that are using these lookups unless the workflow is also modified to match the lookup change.
Added new subsection titled Subcontract/Subcontract Change Orders Log to the CMiC Field Subcontract Workflow section regarding workflow columns in the SC and SCCO logs.

Work Order Billing - R12

Updated Control subsection of Setup section to provide details about the 'Show All Customers Projects' checkbox.

Updated CMiC Time Tracker 2.0 section with details regarding MDM setup for iOS.
Updated CMiC eXpense App section with a subsection for Setup, which contains setup requirements in System Data, US Payroll and Imaging modules that must be completed before the eXpense app can be used.
Updated Setup – Settings Screen subsection of the CMiC Mobile Approvals – iPad section to clarify that it is “App_Server_URL” as opposed to “Mobile_Server_URL”. Also added Flysheet Setup subsection under Workflow Notifications section.
