Preventive Maintenance - Enter/Edit Work Orders

Pgm: PRMWOEN2 – Create and Edit Work Orders; standard Treeview path: Preventive Maintenance > Work Orders >Enter/Edit Work Orders

Use this screen to manually enter corrective work orders and to view and edit all work orders including preventive work orders.

Selection Criteria

Company

The company performing the work order. On entry this defaults to the user’s default company.

Work Order

This is the master section in a master/detail screen. It is used to maintain the header information for work orders. In this section, enter new corrective work orders, and query and modify existing corrective and preventive work orders.

WO Code

The unique identifier of the work order.

Issue No.

The issue number of the work order.

Status

The status of the work order.

Date

The date and time the work order was received. On entry this defaults to the current date and time.

Corr. /Prev.

On entry this is set to “Corrective” and cannot be changed except when entering queries. This displays the type of work order. The options available on this dropdown list are Corrective, Preventive, Modified, General Ledger, and Job Costing. If any part of a work order is changed, its type becomes “Modified”.

Type

“E” for Equipment, “G” for General Ledger, and “J” for Job Costing. On entry this defaults to “E”.

Title

The descriptive name of the work order.

Cost Company

The company to which the work is charged.

Equipment, Department, or Job

The prompt changes with the type. This field specifies the target of the work order.

Customer

Memo field recording the customer for whom the work order is being performed. This is relevant to users who are contractors maintaining another company’s equipment.

Description

This allows for a detailed description of the work order.

Costs

This specifies how costs are entered for this work order. The dropdown list options are “Not costed”, “Entered via transactions”, and “Entered at close-out”. On entry, this defaults from the Preventive Maintenance control setup. The cost type may be changed provided there are no unposted or posted transactions against the work order anywhere in the CMiC Enterprise system.

Billing Method

For work done for outside customers this specifies how the customer is to be billed. On entry this defaults to “Not billed”.

Bill Amount

This is enabled only if the Billing Method field is set to “Fixed price” or “Time & Materials”. It contains the amount to be billed to the customer.

[Create PO] – Button

The [Create PO] button calls up the Purchase Order Entry screen. Please see the Enter Purchase Order section of the Purchase Order guide for more information.

[Maintenance Items] – Button

This button brings up the Potential Maintenance Items screen in a pop-up window. Please see the Potential Maintenance Items section in this guide.

[Budget Summary] – Button

The [Budget Summary] button calls up the Budget screen in read-only mode, so the user can view the summary of the budget over all work items in the details block for this work order.

Work Items

This section contains the details for the work order in the above section. Only one detail (work item) can be seen at a time.

Seq

An automatically generated sequence or line number.

Task

A task code. Preventive work orders always have a task code. Corrective work orders may or may not have a task code.

Name

Short name describing the work item. For preventive work orders this is copied from the task when the work item is generated. For corrective work orders it is copied from the work order when the user moves from the master to detail block.

Description

More detailed description of the work item. The same copying rules apply as for the name.

Equipment, Department, or Job

The prompt and meaning of this field change with the type of work order.

Category/Cost Code

This field does not appear if the type of the work order is “G”. For the other types, the prompt and the meaning depend on the work order type.

Priority

Enter or select a user-defined priority code.

Team

(Optional) Enter or select the team responsible for this work item.

Vendor

(Optional) Enter or select a vendor code if this work item is being contracted out.

Schedule Date

The date when the work is scheduled to begin.

Deadline Date

The date when the work must be complete.

Status

The status of this work item. For new work items, this defaults to “Open”. It is changed to “Closed” by the Close Work Items screen (standard Treeview path: Preventive Maintenance > Close Out > Close Work Items).

Classifier 1, Classifier 2, Classifier 3, Classifier 4

(Optional) User-defined classification codes. The prompt can be customized using the Preventive Maintenance – Create and Edit Classification Codes screen (standard Treeview path: Preventive Maintenance > Setup > Local Tables > Work Classifiers).

Issue Number

The issue number of the work order.

Charge Job – Checkbox

If this box is checked, it will enable the Company, Job, Cost Code, and Category fields below it. This will designate work items as being job charges if checked.

Company, Job, Cost Code, Category

Enter the company, the job, the cost code, and category code that will be charged for the work item.

[Link to Issue] – Button

If the work item is due to an unforeseen issue that arose, click on the [Link to Issue] button to link the work item to an existing issue or a new issue.

[Print WO] – Button

This button will bring up a po-up window so a work order report can be selected and printed.

The [Attachment], [Notes], and [Budget] buttons have the same function as those accessed from the Tasks > Review Generated Work Items screen.

The [Task Info] button is used to view the description of the task referenced by this work item. The button is disabled if no task is specified.
