CMiC Field - Subcontractor LEMS Tracking Log

Overview

Subcontractor LEMS Tracking Log; standard Treeview path: CMiC Field > Budget & Cost Maintenance > Subcontractor LEMS Tracking Log

The Subcontractor LEMS (labor, equipment, materials, and subcontracts) Tracking Log will show the following fields from subcontract and subcontract change order SOV lines (posted and unposted): Subcontractor Code, Subcontract Number, Subcontract Task Code, Task Description, Date, LEMS Number, Quantity, Unit Rate, Unit of Measurement, Cost, and Invoice Number.

The details are presented in the form of a sigma grid. Lines in the grid can be added, deleted, and filtered.

The [Save] button and the Diskette icon () will save any changes made to the grid.

The [Print Report] button will open the standard report pop-up window as shown below:

A CSV file can be generated by clicking the [Send To Spreadsheet] button, as shown in the screenshot below:

The Funnel icon () will allow the user to set up filters.

The Plus () and Minus () icons can be used to add and delete records from the grid. A warning message is provided prior to the deletion of records. On saving, the record is then removed.

Sigma Grid Fields

Subcontractor Code

Enter/select a subcontractor code. The LOV is based on the vendors for the project's company.

Subcontractor Name

This is a read-only field. The name will auto-populate after entering a value in the Subcontractor code field.

Subcontract No.

Enter/select a subcontract number. This LOV is based on the subcontracts for the vendors for the project's company.

Subcontract Task Code

Enter/select a subcontract task code. This LOV is based on the task codes of the subcontract in the previous field. Once selected, the following read-only fields will auto-populate:

• Task Description

• Unit Rate

• Unit of Measurement

Task Description

This is a read-only field and will auto-populate based on the Subcontract Task Code field.

Job

This is a read-only field and will auto-populate based on the Subcontract Task Code field.

Phase

This is a read-only field and will auto-populate based on the Subcontract Task Code field.

Task Quantity

This is a read-only field and will auto-populate based on the Subcontract Task Code field.

Date

Enter a date using the calendar widget.

LEMS No.

This is a manually entered field. There is no validation on this field. Duplicate LEMS numbers are allowed.

Quantity

Enter a quantity.

A warning message is displayed if a user tries to insert a LEMS quantity higher than the cumulative quantity against the task code.

Logic has been put in place so that the system does not allow the user to receive a quantity higher (cumulative) than what was originally allowed for the vendor/subcontract/task code combination. For example, if the original quantity was 1000, and there are four lines for that combination of 200/300/400, then the fourth line should only allow to receive 100; anything over that should not be allowed to be saved and a hard stop message should appear stating that "Entered quantity is greater than the total subcontract SOV quantity".

Unit Rate

This field is read-only and auto-populated based on the Unit field of the code selected in the Subcontract Task Code field.

Unit of Measurement

This field is read-only and auto-populated based on the WM field of the code selected in the Subcontract Task Code field.

Cost

This field is read-only and auto-calculated based on the formula: Quantity × Unit Rate. It is rounded to two decimal places.

Invoice No.

This LOV is based on the invoice number linked to the subcontract in the Subcontract No. field and from related request for payment.

Security Settings

Program Security

To access the Subcontractor LEMS Tracking Log, navigate to the Role Maintenance screen and make the following changes to the appropriate role.

Ensure the ‘Subcontractor LEMS Tracking Log’ box is checked under the ‘Budget & Cost Management’ menu item:

                  

Field Security

Field security can be applied to the following fields: Subcontractor, Subcontract Number, Subcontract Task Code, Quantity, Date, LEMS Number, Invoice Number, Subcontractor Name, Job, Phase, and Task Quantity.

Role Maintenance; standard Treeview path: CMiC Field > Security > Role Maintenance

If the field security for Subcontractor, Subcontract Number, and Subcontract Task Code is set to “Read-only” or “Hidden”, addition of new lines is not permitted - the Plus icon () becomes hidden.
