Supported Functions

• Create a single Actual Equipment Location.

• Create multiple Actual Equipment Locations in bulk using a file (Excel, CSV, or text).

• Create Actual Equipment Locations for all active, valid, in-process Jobs that don’t already have one.

• Preview and confirm details before any creation.

• Ensure company code security and correct company selection.

2. Creating a Single Actual Equipment Location

You can ask the assistant to create a new Actual Equipment Location by providing the required details. The assistant will guide you through the process, confirm your entries, and then create the location.

Required Information

• Location Code (up to 10 characters)

• Location Name (up to 60 characters)

• Company Code (if not provided, the assistant will help you select or confirm it)

Optional Information

• Active Status (defaults to ‘Y’ for active)

• Job Distribution Information (Customer Code, Job Code, Cost Code, Category Code)

• Retire Flag (defaults to ‘N’)

• Exclude in Target Utility Calculation (defaults to ‘N’)

Example

"Create a new equipment location with code LOC123, name Main Warehouse, for company ABC."

What Happens Next:

• The assistant will confirm the details with you, including any defaults.

• You’ll be asked to confirm before the location is created.

Creating Multiple Actual Equipment Locations Using a File

You can upload an Excel, CSV, or text file containing a list of locations to be created in bulk.

Required File Columns

• Location Code (if not provided, the assistant will generate one based on the name)

• Location Name

• Company Code (if not provided, the assistant will help you select or confirm it)

Optional File Columns

• Active Status

• Customer Code

• Job Code

• Cost Code

• Category Code

• Retire Flag

• Exclude in Target Utility Calculation

What Happens Next:

• Upload your file when prompted.

• The assistant will process the file, summarize the first 50 records for your review, and show the total number of records.

• You’ll be asked to confirm before all locations are created.

Creating Actual Equipment Locations for All Active, Valid, In-Process Jobs

If you want to automatically create Actual Equipment Locations for all jobs that don’t already have one, just ask.

Example

"Set up actual locations for all active jobs that don’t have one."

What Happens Next:

• The assistant will confirm your request and any optional details.

• You’ll be asked to confirm before the locations are created.

Company Code Selection and Security

• If you have access to only one company, the assistant will use it automatically.

• If you have access to multiple companies, the assistant will ask if you want to use your default company or select another.

• If you upload a file, the assistant will check for a company code in the file and validate your access.

Preview and Confirmation

• Before creating any locations, the assistant will always summarize the details and ask for your confirmation.

• For file uploads, the assistant will preview the first 50 records and show the total record count.

Tips and Best Practices

• Only Location Code, Name, and Company Code are required.

• The assistant cannot edit or update existing locations.

• No creation will proceed without your explicit confirmation.

• If a Location Code is missing in your file, the assistant will generate a unique code (up to 10 characters) based on the name.

User: "Create a location with code YARD1, name North Yard, for company XYZ."

Assistant: "You are about to create a new equipment location with code YARD1, name North Yard, for company XYZ. Active status is set to ‘Y’. Do you want to add job distribution details or change any defaults? Please confirm to proceed."

Bulk Upload Example:

User: "I have a CSV file with new locations to add."

Assistant: "Please upload your file. I will process and preview the first 50 records for your confirmation before creating all locations."

All Jobs Example:

User: "Add actual locations for all active jobs."
