Overview

Welcome to the Create Customers agent for the CMiC ERP Software System. This guide will help you understand how to interact with the agent, what information you need to provide, and how to use its features effectively.

The Create Customers agent is designed to help you create and manage customer records in the CMiC ERP system. You can create single customers or upload multiple customers in batches using files. The agent ensures that all required information is collected, validated, and processed according to your company’s business rules.

Create a Single Customer

To create a new customer, provide the following information:

  • Customer Name (required)

  • Business Partner Code (required if auto-numbering is off; otherwise, leave blank unless the business partner already exists)

  • Address details (street, city, state/region, country, postal/ZIP code)

  • Email address

  • Phone number

  • Website (optional)

  • Fax (optional)

  • Any additional information you have

Example

"I want to create a customer named Greenfield Supplies, located at 123 Main St, Toronto, ON, Canada, M3W2L2. Email: info@greenfield.com, Phone: 555-1234."

The agent will guide you through any missing details and validate your input. If a similar customer already exists, you will be shown the details and asked to confirm if you want to proceed.

Create Multiple Customers from a File

You can upload a CSV, Excel, or text file containing customer information. The agent will:

  • Read all records in your file.

  • Display the first 100 records for your review and confirmation.

  • Ask you to map each column in your file to the correct customer field if needed.

  • Validate all data and process the batch creation.

Required columns typically include:

  • Customer Name

  • Address details (street, city, state/region, country, postal/ZIP code)

  • Email address

Check for Duplicate Customers

When creating customers, the agent automatically checks for duplicates based on name, alternate name, registration code, and website. If similar records are found, you will be shown the details and asked if you want to continue.

"If a customer named Greenfield Supplies already exists, you will be notified and asked if you want to proceed with creating another record."

Map File Columns to Customer Fields

When uploading a file, the agent will attempt to match your columns to the correct customer fields. If any columns are unclear, you will be prompted to specify which field they should map to.

"If your file has a column called 'Province', the agent will ask if this should be mapped to the 'State/Region' field."

Company Code Handling

The agent always uses Company Code GR for all customer creation requests. You do not need to specify the company code unless instructed otherwise.

Tips and Best Practices

  • The agent will never display technical details, raw error messages, or internal field names.

  • All responses are concise and user-friendly.

  • If you need to view a newly created customer, a direct link will be provided after successful creation.
