System Administration - Create New User for Cloud
Overview
This process describes how to create a new user for CMiC Cloud. The User Setup screen is used to perform all the standard setup directly in one place. It allows for the creation of the user, followed by the assignment of security roles and privileges (for accessing programs, functions, and security groups for accessing data within Enterprise such as companies, jobs, and employees).
NOTE: The User Setup screen is only available for Cloud customers and is not available for Enterprise customers. Enterprise customers should refer to System Data - User Maintenance for their user creation process.
Process
Step 1: Launch User Setup
Pgm: SDUSRMNT – User Maintenance; standard Treeview path: System > Security > Users > User Maintenance - General tab
Press the [Create New User] button on the User Maintenance screen to launch the User Setup pop- up as screen, as shown below.

Step 2: Create User Profile
User Profile section
First, create the user profile.
LDAP Name
This is a mandatory field. There is only one option, “Default”.
Login Name
Enter a login name for the user being created. An email address can be used in this field.
If the login name is 30 characters or less, the same name will default to the User field.
If the length of the login name is more than 30 characters and does not include the character "@" (i.e., not an email address), the first 30 characters of the login name will default to the User field. Otherwise, if the login name is an email address and contains more than 30 characters, the characters up to the "@" , or the first 30 characters will default to the User field.
For example:
If a long login name such as Ravichandran.Venkatachalam@cmic.ca was entered, then the user name in the User field would default to Ravichandran.Venkatachalam. If a shorter login name such as Maria.Cani@cmic.ca was entered, then the user name in the User field would default to Maria.Cani@cmic.ca.
If a new user name is being created, and there is an LDAP user with the same name, the system will ask if the user wants to link the LDAP user to this Enterprise user.
Employee Code
Enter/select the appropriate employee number for this user if applicable. This is not a required field.
First, Last Name
If the employee code was entered, these fields will be populated from the Employee Profile. If the user creation process involves choosing from an existing contact, these fields will be populated from the contact. If a new contact is to be created, enter the first and last name for this user.
E-Mail Address, Phone Number
These fields will be populated based on the Employee Profile if entered; otherwise, enter the appropriate values where applicable. The E-mail field is a required field.
Financials Console

This field is used to set a user’s default console so that when the user logs in and chooses Enterprise from the App selector, the default console loads automatically, skipping the console selection screen.
If a Financials console is not set (i.e., Financials Console field is left empty), when the user chooses Enterprise from App Selector screen, the console selection screen will appear, allowing the user to select a console from a list of available consoles to which the user has access.
xProjects Console

This field is used to set a user’s default console so that when the user logs in and chooses CMiC Field from App selector, the default console loads automatically, skipping the console selection screen.
If no console is chosen, the system will run the CMiC Field (PMJSP) module instead.
Step 3: Enter Contact Information
Contact Information section
Enter the user's contact information in this section.
New Contact – Toggle
When turned on, the user creation process will attempt to create a new contact. Otherwise, the user creation process will attempt to create the user based on an existing contact chosen.
Check the 'Delete LDAP User' box to delete the LDAP user along with the database user.
Default Company
Enter/select the company associated with the user being created.
Partner
Enter/select the partner associated with the user being created. This will either be a business partner or one of your own company codes, depending on if the user is external or internal. For creation of internal users, choose the partner that is the same as the one specified in the Default Company field.
Contact
This field is available when New Contact toggle is disabled. Enter/select an existing contact. When the New Contact toggle is enabled, the contact code will default with the login ID entered. The contact code is used throughout the system as a quick way for selecting the person.
Segment
The Segment LOV field is used as an interface to an external program called WalkMe. The entries made will allow WalkMe to understand who the user is and their role. Free-form values entered in this field are used to update the LOV upon saving.
Collaboration User – Toggle
A toggle switch indicating if the user being created is a Collaboration User.
Step 4: Enter Security Information
Security section
Enter the user's security settings.
User to Copy
Enter/select a user from the Source User LOV to copy all their security settings. This streamlines the entry of similar user profiles.
To modify the security settings and license assignments of the user being created without copying another user, you can browse through the tabs (Enterprise, PM, Project, License) and toggle on the roles and licenses that apply to the user.
[Reset] – Button
Undo the role and license assignment changes of the user that is being created.
Job Security
This field is used to associate the created user with a default job security group, to grant them access to the jobs and projects associated with the security group. For details of security groups, refer to System Data - Job/Project Security.
Project
This optional field is used to define a default project associated with the user being created.
Step 5: Create User
After all the details have been entered, press the [Create] button at the bottom of the screen to complete the user creation process.
If the parameters are correct, you will see the Finish Setup screen as shown in the screenshot above. Press the [Ok] button to confirm creation of the user to send a confirmation email to the new user's email address.
